Will our company data be used to train AI models?

No. Business processing runs under agreements that exclude training on your content, and that exclusion is written into the contract rather than assumed. Your documents are used to answer your questions and are kept in an index only you can query. The difference matters, and it is the first thing to check in any supplier's terms.

Using data and training on data are not the same

When the assistant answers from your price list, the text is sent, read and the answer comes back. Nothing is absorbed into the model; ask the same question from another company's account and your price list does not exist. Training would mean the content becomes part of the model's weights, which is what the agreement excludes.

Where the confusion comes from

Free consumer chat tools often do train on what you type, and that is where most of the worry originates. A colleague pasting a customer contract into a personal account is a genuine risk. A properly contracted business deployment is not the same thing, and one of the benefits of having an approved tool is that people stop using the unapproved one.

What does improve over time

Your own examples and corrections improve your own automation, stored in your own configuration. That learning stays inside your account and travels with you if you export, which is the opposite of contributing to someone else's model.

Read the processing terms and ask for them in writing. A supplier that cannot point to the exact clause excluding training should not be given your documents.

What about the staff using free AI tools already?

That is the more urgent problem. A short written rule about what may not be pasted anywhere, plus an approved internal tool, solves most of it.
